Gate capture checklist — required fields that prevent rework

Gate teams are the system of entry. Every missing field at check-in becomes a phone call at the dock or a manual correction at closeout.

Core fields

What most sites require at gate-in

Trailer number and driver identity are universal. PO or shipment reference connects the visit to receiving or shipping. Freight type routes the workflow. Document uploads cover BOL, seals, or customs paperwork.

Enforcement

Block incomplete capture — do not fix it at the dock

When required fields are optional, gate teams skip them under pressure and dock teams re-ask the same questions. Blocking incomplete check-in forces capture once, at the point of entry.

Gate-out

Departure closes the audit trail

Gate-out records departure time and final document state. Finance and carriers pull this history without calling the guard shack.
